Special Pricing with Harbortouch Retail

Description: Learn how to create and manage discount mapping attributes in the Harbortouch Retail system, including post-installation setup, using the Discounts attribute tab, and linking special pricing rules to discount names instead of individual SKUs.

The HT-Retail system has the ability to create an Attribute for what is commonly called “Discount Mapping”. While this is initiated during the Programming stage, there are cases where you may need to add this post-installation. For any new accounts, there is an additional Attribute tab named “Discounts” that allows you to select specific discounts to apply to your inventory. Special Pricing rules only need to be linked to these discount names, instead of creating separate rules for individual SKUs.

Important: Discount Mapping is recommended for consistency and ease of maintenance with discounts.

Set Up SKU attribute: Discount Mapping

To view the Discounts tab, login to the system and select Inventory > Skus then select the desired SKU from the list and choose the Info tab. In the Discounts drop-down box, a new discount name (placeholder) can be created and saved to the SKU, or if there are already existing discount names in place, then the applicable name can be selected.

If a new discount is being added, then the special pricing rule will still need to be added and linked to the discount name. Discounts maps can be manually created or bulk imported.

For more information, visit the Query Builder Overview > Special Pricing Rules article.

Manual Discount Name Creation

To manually create the Discount names, unlock the POS and enter the below credentials:

  • Username: htadmin
  • Password: ht8m1n

Option 1

Once the menu text window appears, select Add New to begin populating the variety of discount names you will be creating rules for. Menu Text is what will populate on the drop-down. Description will only reflect on this screen and is not required. You must click Save then Add New before adding the next value or you will overwrite the one you just created.

Once you have created the names of all of the discounts the merchant wants to use, click Close to return to the Attributes menu.

Option 2

Navigate to Inventory > Skus tab. Select a SKU that will be configured for special pricing. In the SKU's Info, tap the Discounts tab. The new discount name can be typed directly into the box. You must click Save on the SKU for the discount name to then be available in the drop-down menu to be assigned to other SKUs.

Auto Discount Rule Editor Examples

Below are some examples of Special Pricing options that can be added to existing SKUs. By default, there are some pre-set pricing rule templates for easier setup, but when the templates do not fit the rule, the “Other” template will be used. The examples below are for after the Discount attribute has been added to the applicable SKUs.

Important: The naming convention for discounts may differ but can be the same configuration or value. For example, a 2 for $5 discount might also be called Get $1 off for 2.

Mix & Match Deals

Buy two get a dollar amount off -or- Buy two for a set price.

The special price for two of the eligible items will be half of the final value. This example will be 2 for $5, which means each item will be marked down to $2.50

image-6 (14).png

  1. Name the Rule to match the discount map (for consistency).
  2. Enter the Special Price.
    • Since the total is $5, then the unit price would be $2.50 for each item
  3. Ensure the Start and End date is active for the promotion timeframe.
  4. Limit Qty is how many items the discount will apply to.
    • Initially, this section will say “Limit $” but will change once step five is completed
  5. Check If (Conditions).
    • Select Total Purchase Quantity
    • Check Same as “Apply To” (green) items
    • Enter 2 in for greater than or equal to, which is the amount of items needed to activate the discount
    • Select Build Query linking items to the Discount map name
  6. Press Save to commit the changes.

Buy two and receive a percentage discount

This can be set to be any particular quantity value and to receive different percentage discounts.

More than 1 rule can be applied to a Discount map in particular configurations. (Buy 6, get 5% Off or Buy 12, get 10% Off). If both rules are not created, then when 12 are rung in, the discount will only total 5%.

Odd quantity dollar amount discounts (Buy 3, 5, 7, etc)

This often results in an odd rounding (the total off by .01) since the software rounds every individual calculation to the 100th position and can confuse some expectations of the result.

The special price for an eligible odd quantity for a dollar amount off will vary on the configuration of Special Price discounts, Limit Qty, and greater than or equal to (ensuring accurate discount).

Buy three get a dollar amount off -or- Buy three for a set price

image-9 (8).png

All steps for discount set up will be followed the same EXCEPT for these two categories:

Special Price: The discount will not be divided by standard unit price, for the dollar amount off is not being distributed across 3 items. Instead, the entire amount off will be removed from 1 SKU only. For example, on a 3 for $10 Grocery:

  • Reg. Sell Price of 1 item is $4.59.
  • 4.59 x 3 (Discount Item Quantity) = $13.77 (full price total).
  • $13.77 - 10 (Discount $ Total) = 3.77(total $ amount discounted).
  • $4.59 (Reg. Sell Price) - $3.77(total $ amount discounted) = .82 (Special Price)

(Reg. Sell Price) - ((Reg. Sell Price x Discount Item Quantity)Discount $ Total)) = Special Price

Limit Qty: This setup’s special price applies to one item only. The benefit of this configuration is that if the customer returns only one, then the lowest (only discounted) item can be removed. This will eliminate the customer from getting a discount that is negated.

Important: This would be considered a “training issue” at the time of the sales return, for the system will not auto-return the lowest price/discounted item.

Non Mix & Match Discounts

The special price for two eligible items but excludes items that have may have the same type of discount.

In this example, both energy drinks & Monaco products are $0.98 Off 2, but the products are not mix & match. In this circumstance, separate discounts will need to be created. Depending on the original price of the items, the special price configuration may differ as well.

Important: Naming the Discount Map & Rule should be specific to differentiate for easier management.

  • Auto Percentage Discount By Points - This is handled by the Customer Rewards Program
  • Auto Dollar amount Discount - Not compatible with the Retail software
    • If a merchant needs to utilize an auto dollar discount the only options to achieve this are by using Quick Launch, Points to Coupon, or the Coupon SKU
