Configure Guest Counts in MICROS Simphony

Description: Learn to configure and manage how your staff enters the guest count using the Enterprise Management Console and front-of-house workstations.

Back-Office Configuration in the Enterprise Management Console (EMC)

Require a Guest Count on New Checks

If you want to force the system to prompt operators for a guest count every time they start a new check, you must enable this requirement in their Employee Class.

  1. Log in to the EMC, select the property level, and navigate to Configuration > Employee Classes.
  2. Double-click the specific Employee Class assigned to the staff (e.g., Server or Bartender).
  3. Select the Operator Options tab.
  4. Select the revenue center where the employee works.
  5. Scroll through the Options list and select the option that requires operators in this class to enter the number of guests when beginning new checks.
  6. Select Save.

Add a "Number of Guests" Button

If an employee makes a mistake or needs to update the guest count during an active transaction, they will need a dedicated button on their touchscreen to do so.

  1. In the EMC, navigate to Configuration > Page Design.
  2. Double-click the Front-of-House (FOH) transaction page that your staff uses.
  3. On the Edit tab, select the area of the screen where you want to place the button, then select Button.
  4. On the General sub-tab, type "Number of Guests" into the Legend field.
  5. In the Type drop-down list, select Function.
  6. Select the black arrow beneath the Type drop-down list, then choose the Number of Guests function.
  7. Position and size the button appropriately, use the Style arrow to assign it a color, and select Save.

Note: Run a database refresh or reload on the workstations to download these new configurations.

Front-of-House (FOH) Operations

Once configured, your staff can add or adjust the guest count on the workstation using the following methods.

Add the Guest Count When Beginning a Check

If you enabled the requirement in the employee class setup, the system will automatically prompt the operator.

  1. Sign on to the workstation.
  2. Select a Begin Check function key (such as Begin Check by Table or Begin Party Check).
  3. The workstation will prompt the user for the guest count; enter the number of guests using the on-screen number pad and select OK.

Change the Count on an Open Check

If the operator needs to change the count on an active transaction, they will use the button created in the page design setup.

  1. With the guest check open on the screen, select the Number of Guests function key.
  2. Enter the updated number of guests at the workstation prompt and select OK.
